Text Automation Software: Comparison of 11 providers

The work of editors and copywriters in marketing is becoming more and more extensive. They have to create more content for increasingly diverse output channels. This is driving up the necessary time and personnel resources and thus the costs in marketing. At the same time, simple, standardizable content in particular can be created automatically. Text automation software was introduced to editors five years ago. Since then, the solutions have improved significantly and offer a wide range of possible applications. In our new market overview, we have therefore compared 11 text automation software providers on the basis of over 192 criteria. You can download a summary of the comparison in the article. In addition, this article provides you with some key facts about today’s text automation software.

Automated text creation in marketing is no longer a dream of the future, but reality. For marketers and content creators, there are already numerous tools that make text automation possible. What was presented to a few hundred editors five years ago on a small scale in a Munich hotel has matured further and offers new possibilities for making marketing more efficient. This is also important, because the amount of content in marketing is increasing with the expansion of customer touchpoints and increasing demands on the information phase. Five years ago, text automation software was sometimes still laughed at because the limitations in the use of the solutions were still comparatively high. In the meantime, the fields of application have expanded considerably. Depending on the underlying technology, text automation software can now be used not only for standard texts such as product information in e-commerce, but also for mailings, flyers, and catalogs. With AI integration, even complex content such as blog posts can be created semi-automatically, depending on the solution. Text automation software also offers services for internationalization, enabling marketers to publish content more quickly and easily.

But which text automation tools are suitable for your company? What should you look for when choosing a software? And what functions do different providers offer you? These and other questions are central when you want to decide on text automation software. Our market overview supports you by comparing the solutions of 11 providers based on more than 192 criteria.

How does Text Automation work? – Definition Text Automation

Text automation software can cover two basic directions: rule-based and AI-based text automation. Depending on the desired services, rule-based or AI-based software is more or less suitable for your business. To distinguish between the two: rule-based text automation tools use simple, pre-built templates for texting. Solutions that are rule-based are therefore usually only suitable for standard texts. For example, for product descriptions or the newsletter email. AI-based text automation, on the other hand, uses machine learning and can thus also generate complex content automatically. The prerequisite for this is that the software is “fed” with sufficient information. The scope of application of AI-based text automation software is thus wider.

Complex content usually no longer a challenge

In the early days of Text Automation, complex content like blog posts were still a challenge for the software. Today, most text automation solutions can create blog posts. In our market overview, 81 percent of providers offer corresponding functions. Social media posts are also covered by almost all solutions. We also asked to what extent the software supports SEO texts – after all, the generated content should also be easy to find via search engines. The result: SEO is supported by all providers, so that companies do not have to make any compromises in their selection here. However, one content format is still being developed: chatbot texts. So far, only four of the providers surveyed provide functionalities for chatbot texts in their text automation tool.

Multiple options for text design

Texts must always match the culture and style of the company. Nothing less requires consistency in brand perception. Text automation software should therefore offer extensive options for individualizing texts despite automation. In our comparison, we have therefore asked which text design options the individual solutions offer. Most providers allow, for example, the individual setting of tonality and language style of the texts. Personalization – as part of effective marketing – is supported by configurable addressing in nine out of eleven solutions. In addition, many of the providers offer the option of an “if-then” function so that texts can be better tailored to target groups. The coverage of functions such as automated text modules, automatic linking or a workflow for proofreading is more varied. Companies should therefore define in advance exactly which options are needed for text creation. In this way, the group of providers can already be narrowed down well.

Common interfaces to central tools and systems

Text automation software necessarily needs access to various tools and systems in the company in order to generate the necessary information for text creation. Extensive interface coverage is therefore essential. In our market overview, we analyzed the ERP, CRM, CMS, PIM and store systems to which the individual providers offer interfaces. Only three out of eleven providers do not provide detailed information. However, most of the text automation tools offer companies interfaces to common systems in the queried area. This is an important aspect so that, if possible, you do not have to extensively renew your existing system landscape in order to use text automation.

Price approach of the providers: Tools from free to 750 euros per month

Text automation software is suitable for almost every company. As a rule, texts always have to be created. May it be for the website, the blog, social media, flyers or other formats. Therefore, the use of text automation tools can be equally useful in small, medium or large companies. However, the required range of functions and also the budget for solutions naturally varies greatly and also depends on the size of the company. Our comparison shows that there is a wide range of monthly costs. One provider does not charge any basic costs per month for the software. The highest basic costs are 749 euros per month. For most providers, however, there are also no costs for implementation. Only one text automation software falls out of this category. Companies that decide to use a text automation tool should also consider the various factors that influence the costs. These are, above all, the number of users or the number of texts.

Conclusion

Text automation will continue to gain in importance in the future in order to balance out the costs and benefits in corporate marketing. With increasing output channels and a steadily growing need for information among customers, marketers can use text automation tools to reduce costs and significantly increase overall marketing efficiency. However, anyone looking for a suitable text automation tool for their company should first define in detail which texts should be created automatically and which interfaces and customization options the software should offer. Based on the functional and cost-related requirements, you can already narrow down the selection with the help of our Text Automation Software Market Overview – and perhaps even find your provider for automated text creation already.
